Data Processing Notice for Benefits Clients

Auchinleck Community Development Initiative (ACDI) is fully committed to full compliance with the requirements of Data Protection regulations. We will therefore follow procedures which aim to ensure that all employees, who have access to any personal data held by or on behalf of ACDI are fully aware of and abide by their duties under Data Protection regulations.

ACDI needs to collect and use information about clients with whom it works in order to operate and carry out its functions. This personal information must be handled and dealt with properly however it is collected, recorded and used and whether it is on paper, in computer records or recorded by other means.

ACDI regards the lawful and appropriate treatment of personal information as very important to its successful operations and essential to maintaining confidence between it and those with whom it carries out business. We therefore fully endorse and adhere to the Principles of the Data Protection Act 2018 and all information and discussions will be treated with the utmost discretion.

Handling personal/sensitive data: ACDI will, through management and use of appropriate controls, monitoring and review:

  • Use personal data in the most efficient and effective way to deliver better services
  • Strive to collect and process only the data or information which is needed
  • Use personal data for such purposes as are described at the point of collection, or for purposes which are legally permitted
  • Strive to ensure information is accurate
  • Ensure that the rights of people about whom information is held can be fully exercised under the Data Protection Act 2018
  1. Right to Be Informed

You have the right to fully understand how personal data is collected, stored, managed, protected and processed.

Your information is collected using our sign-up process and will be used by us:

    • to contact you to discuss your case/follow up;
    • to liaise with other service, as agreed by you;
    • to use in our records and statistics.
  1. Right to Access Personal Data

You have the right to review your data and understand how your data is stored and used.

ACDI will use information to gain an overview of local issues/trends and are better able to set up projects to tackle them, your information will stored on secure, password protected systems.

To review your data please contact Paul McKenzie/Stuart Mitchell who will provide you with the relevant form and your data will be made available to you (in a suitable format) within 30 days.

  1. Right to Reject Automated Decision Making

Auchinleck Community Development Initiative (ACDI) do not use any automated decision making processes.

  1. Right to Correct Personal Data

You have the right to update, supplement or correct incomplete or inaccurate data.

If you believe any of your personal data held Auchinleck Community Development Initiative (ACDI) is incomplete, inaccurate or out of date or you would like to add information please contact Paul McKenzie/Stuart Mitchell who will provide you with the relevant form and your data will be corrected/completed/supplemented or updated within 30 days.

  1. Right to have Personal Data Deleted

When no compelling reason exists to retain such data, you may request the deletion of personal and supplemental data.

To have your Personal Data deleted please contact Paul McKenzie/Stuart Mitchell will provide you with the relevant form and your data will be deleted within 30 days and confirmation sent to you.

  1. Right to Restrict Processing

You may request that your data not be used for specific purposes.

To make a Right to Restrict Processing request please contact Paul McKenzie/Stuart Mitchell who will provide you with the relevant form and we will review your request within 30 days and a decision will be sent to you.

  1. Right to Stop Processing

Where data retention is required you may request that their data not be processed in any manner.

  1. Right to Data Portability

You may request transfer of your data to another organisation or person for storage or processing.

If you would like your data transferred to be stored or processed by another organisation please contact Paul McKenzie/Stuart Mitchell who will provide you with the relevant form and we will attempt to have your information ready within 30 days.

I confirm that I have been informed of ACDI’s Data Protection Policy and of my rights and I agree to my information being collected/stored/processed under these policies guidelines.

Clients will be presented with a form to tick and sign which they should return to their advisor.
